Candidate-flow planning is the process of controlling arrivals and movement through every stage of a hiring event. It protects safety, reduces uncertainty, and helps interview teams work at a predictable pace.
Before the event
- Set a registration cap based on hourly processing capacity.
- Assign arrival windows instead of inviting everyone at the same time.
- Publish eligibility, document, travel, and accessibility information.
- Map separate entry, waiting, assessment, interview, and exit areas.
- Assign an owner and backup for every stage.
At check-in
Create separate paths for confirmed candidates, exceptions, and general questions. Verify only the information required for the event. A QR or reference number can reduce repeated manual searches, but staff should have a fallback for candidates with device or connectivity problems.
During assessments and interviews
Track how many candidates are waiting at each stage. Do not move more people forward than the next area can hold. Display or communicate expected delays and provide water, seating, restrooms, and safe exits appropriate to the crowd size.
At the end
Tell every candidate whether the next step will be communicated, through which channel, and within what expected timeframe. Separate the exit path from new arrivals wherever possible.
After the event
Review bottlenecks, waiting time, escalations, no-shows, and candidate feedback. Candidate flow should improve with each drive because capacity decisions are based on observed data rather than guesswork.
